RESPONSIBILITIES The Event Planner shall: - Develop a comprehensive event plan, including timelines, budgets, and event layout. - Coordinate and manage all logistics associated with the Event. - Provide regular updates to the Client on the progress of the Event planning. - Secure vendors and manage contracts. - Provide all marketing and promotional materials including social media, flyers, posters etc. - Coordinate and host a pre-event briefing for all vendors involved. The Client shall: - Provide the Event Planner with all necessary information pertaining to the Event, including but not limited to the theme, budget, target audience, and objectives. - Promptly respond to all communication from the Event Planner. - Assist the Event Planner in securing necessary permits and insurance. - Provide all information regarding vendors or service providers that they want to be included in the Event. - Provide any necessary support during the Event set-up and execution. SECURITY PERSONNEL RESPONSIBILITIES The following responsibilities will be provided by the Event Planner’s professional security personnel: - Monitor the Event area for safety and security reasons. - Manage and control access to the Event venue. - Perform safety and security checks at the venue entrance and within the venue. - Help guests find their seats. - Deal with disruptive behavior, accidents, and emergencies. - Provide first aid and liaise with emergency services if necessary. - Protect the Event venue and equipment from theft or damage. - Report any security and safety issues to the Event Planner and the Client immediately. LIABILITY The Parties agree to indemnify, defend, and hold harmless each other, their respective subsidiaries and affiliates, and their respective officers, directors, shareholders, agents, and employees, against all losses, damages, claims, expenses or liabilities, including reasonable attorneys' fees and expenses, arising out of or relating to the Event, including without limitation any accidents, injuries, or damages sustained by Event attendees or vendors. The Event Planner and Client shall maintain liability insurance coverage of at least 1,000,000 to cover any damages or injuries caused by their respective negligence or willful misconduct. TIMELINE FOR DELIVERABLES The Event Planner shall provide the Client with a timeline for all deliverables outlined in the Proposal within [Number of days/weeks/months] of the signing of this agreement. The Event Planner shall remain in constant communication with the Client throughout the delivery period. PERFORMANCE EXPECTATIONS The Event shall be executed according to the agreed-upon times, locations, and specifications in the Event Plan.
